Assigned Coaches: Every Athlete with a Designated Club Coach
FencR lets you assign one or more coaches to each athlete, so athletes book private lessons with the coaches who know their game. Assign from a coach's page, from an athlete's profile, or in bulk from the Members or Coaches tables, and see each coach's weapons, groups, locations, recent athletes, and week ahead on the new Coaches page. Athletes and parents see their assigned coaches on their own home page, with a Book a lesson button for each. Free for every club, like all of FencR.
Every club knows which kids belong with which coach: the épée kid who only clicks with one coach, the beginner who needs patience, the competitor whose coach knows their tournament plan. That knowledge usually lives in hallway conversations and a group chat, and a lesson booked with the wrong coach is an awkward week for everyone.
Assigned coaches put that match on the schedule. Give an athlete their coaches once, and every lesson they book for themselves lands with the right person.
Meet the Coaches page
Open Coaching > Coaches. Every coach is in one table, laid out like your Members page: the weapons they coach, their groups, where they teach, how many athletes they have, and what they are running in the next seven days. Search, filter by location or weapon, and sort by any column. Open a coach to see:
- Their last 30 days. Lessons given, attendance in their sessions, lesson no-shows, and practices led.
- Who they work with. Their assigned athletes, plus the athletes they have actually given lessons to lately.
- Their week ahead. A small seven-day calendar of everything they are teaching, in your schedule's colors.
- An About description. Admins write a few lines about each coach, and the same description appears on camp pages that feature them.
- Their details, editable in place. Admins add or remove a coach's locations and groups right in the coach's window, the same way they do for a member.
Four ways to assign
- From the coach. On a coach's page, Assign athletes opens the athlete picker. Twelve athletes is one click and one save.
- From the Coaches table. Shift-click a few coaches, or Ctrl-click (Cmd-click on a Mac) or right-click one, and the same quick menu as the Members page offers Assign Athletes, Assign Group, Assign Location, Create Lesson and Attendance Report. Every athlete you pick is assigned to every selected coach.
- From the athlete. On an athlete's profile, the Assigned coaches section adds or removes coaches.
- In bulk. On the Members page, select athletes (shift-click selects a range) and choose Assign Coach from the bulk actions or the right-click menu. Parents and staff in the selection are skipped and counted, so nothing surprising happens.
New season, new groups? Filter the Members page to your youth épée group, shift-click the whole list, and Assign Coach once. Every kid in the group books with the right coach from their next lesson on.
Athletes and parents see their coaches
Assignment isn't only a booking rule. It is also how a family learns who their coach is.
- Your coaches, on the athlete's home page. Each assigned coach shows with their photo, the weapons they coach, and the About description your admins wrote, plus a Book a lesson button that opens that coach's open times.
- Parents see each child's coaches. On the Children page, every club membership shows that child's assigned coaches at that club. A child at two clubs shows the right coaches under each one, and Book a lesson opens the booking with the child already picked.
- Only their coaches. The list shows the coaches assigned to that athlete, never the rest of your staff. An athlete with no assigned coach simply doesn't see the section.
Booking buttons follow your club's lesson self-booking setting. If members don't book their own lessons at your club, athletes and parents still see their coaches, just without the button.
What assignment changes, and what it deliberately does not
- Athletes book their own coaches. When an athlete or parent books a private lesson, they see and book their assigned coaches. An athlete with no assignment can book any coach with open times.
- Staff are never boxed in. Coaches and admins can book any athlete with any coach. A substitute week or a one-off lesson with a visiting coach just works.
The rest of the coaching toolkit
- The Lessons page. Roll call for the day's private lessons with one-tap Given and No-show, the student-by-day ledger, and a Create lesson button. Click any athlete's name for a quick Create lesson with that athlete already picked.
- Lesson notes, for staff. A coach writes a note about one athlete on one session, right from the session roster, and the notes collect on that athlete's profile for the next coach who works with them.
Where to find it
If your club is on FencR, open Coaching > Coaches and pick a coach to start assigning. New to FencR? Creating a club takes about fifteen minutes. The rest of the release is in the FencR 3.0 overview.
