FencR 1.8 Is Here: One Plan for Lessons and Practices

FencR 1.8 fixes the thing clubs kept working around: a membership that includes both lessons and practices is now a single plan, not two. Plans can also end after a set number of cycles and choose how they get paid, signed waivers open right in the app, and Club Settings finally saves itself. Free for every club, as always.

FencR 1.8 is live for every club. It started from a complaint we heard from nearly every club we talked to, and it turned into a release about removing guesswork: from the plans you sell, from the assignments you make, and from the emails your members get.

The membership you sell is now the membership you can build

Almost every club sells the same shape of membership: some number of private lessons a month, plus practices. Until now FencR made you publish that as two plans and enroll every member in both, because a plan could cover lessons or practices, never both.

That is fixed. Lessons and practices are now configured independently on the same plan, and each side is set to Not included, Unlimited, or a specific number of credits. So "8 lessons plus unlimited practices" is one plan a member joins once.

Each side keeps its own credit pool. Booking a lesson draws down lesson credits and never touches practices, and an unlimited side is never decremented at all. A one-time pack is only marked exhausted once every counted bucket is actually spent, so a pack with practice credits left keeps working after its lessons run out.

Your existing plans are untouched and keep working exactly as they are.

Plans that end when your season ends

A recurring plan can now run for a set number of cycles and then stop on its own. A ten month season is a ten cycle plan. Nobody has to remember to cancel it in month eleven, and members are not quietly billed into the summer.

FencR works out the end date when the member enrolls, tells Stripe to stop billing after the final cycle, and lets access and remaining credits run to that date. Plans set to Renews forever behave exactly as before.

Every plan chooses how it gets paid

Payment settings moved onto the plan itself, so a club can run card-billed memberships and Zelle-collected packs side by side without switching anything globally.

On each plan you tick the ways you will accept money (card, Zelle, cash) and star the one invoices should use. Cash never routes an invoice on its own, since there is nowhere to send the payer; it simply tells the member they may settle in person. Options you cannot fulfil stay hidden: Zelle only appears once a handle exists, card only once Stripe is connected.

There is also a smaller control that a few clubs asked for specifically: a plan can collect by Zelle without printing the handle on the member's copy of the invoice. Routing, your own view, and marking invoices paid all work exactly as before.

Assignments that tell you what they are about to do

The member detail panel used to be a row of chips you had to interpret. It now uses labeled controls. Add to group opens your group list. Add location shows each venue with its address. Assign plan lists every plan with its price, cycle, and what is included.

More importantly, anything that bills or notifies a member asks you first, and says which it is: a plan you invoice sends them an invoice right away, a Stripe plan asks them to set up payment, a free plan just activates. Removing a Stripe-billed plan now cancels it on the Stripe side too, so nobody keeps getting charged for a plan they no longer hold.

And anywhere you pick a person out of a list, hovering their name brings up their card: photo, role, groups, and their active plans with credits remaining. It exists for the two-athletes-named-Alex problem.

Booking a lesson, without the scrolling

Picking a coach now shows their photo, and they stay visible at the top while you choose a time. Days with an open slot are marked on a calendar, so you pick a day and see just that day's times, each with its length and what it costs in credits. If you do not hold a plan that covers lessons yet, the flow says so and offers the plans you can pick up without leaving the page.

Waivers you can actually read and work through

Click any member who has signed and their waiver opens in the app, signature page and all, with who signed and when. The blank club waiver opens the same way.

The page now tells you how many members are fully signed and how many are outstanding, and the roster has search, All, Unsigned, and Signed filters, member photos, and unsigned members sorted to the top, which is the list you are actually working through.

Clubs now keep one active waiver. With several, a member could be signed on one and unsigned on another, and what your club can prove becomes ambiguous. To change your waiver, archive the current one and upload the new version. Signatures already on file are always kept.

Settings you can find, that save themselves

Club Settings is now six tabs: Club profile, Locations, Lessons and booking, Getting paid, Public page, and Your data. Each tab has its own link, so you can bookmark or send someone the exact one.

Everything saves as you go. There is no Save button to hunt for and no wondering which fields it covered. Changing your club URL is the single exception, and it asks you to confirm, because old links stop working the moment it changes.
