FencR 2.2: Visitors, Drop-ins, and One Account for Every Role

FencR 2.2 is live for every club. This release is about a simple truth of running a club: the people in your salle are not all members. Some are trying a class, some are visiting from another club for the summer, some are guest coaches running Tuesday practice. FencR now has a home for all of them, and it sits right next to your roster.

Your Members page, now with visitors

The Members page keeps everything it had: the same roster, search, filters, invites, and archive, all in the same place. What is new is a single tab called Visitors, right after Members, for everyone who trains with you without joining.

Recording a visitor takes seconds: a name and what they are here as (athlete, coach, or parent). Add their home club if they have one, keep private staff notes, and optionally save an email so they can claim their account if they ever join. Visitors never receive an email until you decide they should.

Drop-ins that behave like real bookings

Book a visitor into any session straight from the schedule. The booking shows up on the roster and in attendance like any other, but it consumes no plan credits and touches no plan. If your club charges for drop-ins, attach a fee at booking time and it lands as a draft invoice, routed through whichever payment method your club uses.

Waivers still mean something: an unsigned visitor is blocked from booking exactly the way an unsigned member would be.

Guest coaches, first class

Visiting coaches get their own section in every coach picker, their own column in the schedule's By coach day view, and their place in session hover cards and coach analytics. They can run or assist your sessions and camps without ever having access to your club's dashboard.

From trial to member in one click

When a trial athlete decides to join, Convert to member moves them onto the roster with their visit history intact, and the normal invite flow takes it from there. Visitors who drift away can be archived, and their history stays.

One account, every role

Plenty of people at a club wear two hats. A coach who trains. An admin who is also a parent. Until now, FencR made them pick one.

Members can now hold additional roles alongside their primary one, and their account becomes the union of everything they do. A coach who is also an athlete sees coach tools plus their own plans and billing. An admin who is also a parent gets the Children page. One login, one sidebar, no switching. Role badges across FencR show every hat, primary first, and admins grant additional roles right from a member's profile on the Members page.

Cancellations reach the staff room

Two long-requested notifications ship in 2.2:

• When an athlete cancels their spot, your admins and that session's coaches now get an email, not just a bell badge that is easy to miss. Cancelling a whole recurring series says how many sessions were dropped.
• When a session is called off, every other admin and the session's coaches get a notification and an email with the booked-athlete count and who cancelled it. A cancelled series collapses to one notice per person, not one per week.

Booked athletes and their parents were already notified automatically; now the staff side of the room hears about it too.

Small things that were bugging you

• The plan catalog has search and sorting. Find a plan by name, or sort by price, newest, or most subscribers. Camp plans get the same treatment.
• The sidebar collapse button un-collapses again. A long sidebar could push the expand button off the bottom of the screen. The rail now scrolls and the button stays put.
• Public pages tell the right time. Session times on your public club page now display in your club's timezone.
