Create an invoice

Go to Dashboard > Invoices and click Create Invoice.

Select the athlete

Pick the athlete from the dropdown. If the athlete is a minor with a linked parent, the parent's name appears next to the athlete's name. The invoice will be billed to the parent automatically.

Add line items

Choose from the following line item types:

  • Session Fee: Charge for a specific lesson or class.
  • Plan: Every active plan the athlete is enrolled in auto-populates as its own line item with the correct price. Remove any plan line you do not want to bill this cycle.
  • Custom: Any other charge with a description and amount.

Choose how the invoice will be paid

Each invoice has a payment method. The default is Stripe (online card or ACH). If your club has Zelle handles registered (see Zelle Setup), you can also pick Zelle and select which recipient handle to show the payer. Switching the method changes the payer-facing email and the invoice detail page accordingly.

Until Stripe Connect onboarding is complete, the Stripe option is hidden in the Create Invoice modal so you do not generate invoices that cannot be paid online. Connect Stripe (see Stripe Setup) to enable it.

If the invoice is generated from a membership plan that has a per-plan Zelle recipient override configured, that recipient is used automatically. This is useful when, for example, private-lesson plans should route to the coach while group-class plans route to the club.

Set the due date and save

Choose a due date and click Save as Draft. Draft invoices can be edited freely before sending.

Send the invoice

Open the draft invoice and click Send. The payer (athlete or their parent) receives an email with a payment link and an in-app notification. Stripe invoices include a Pay Nowbutton that opens a secure checkout page; Zelle invoices include the recipient handle and the invoice reference to enter in the payer's banking app.

Reconcile Zelle invoices

Because Zelle transfers happen bank-to-bank, FencR cannot detect when funds arrive. After you confirm the deposit in your bank account, open the invoice and click Mark as Paid. (Stripe invoices flip to Paid automatically via webhook.)

Track payment status

Invoices move through these statuses: Draft, Sent, Overdue, Paid, or Cancelled. Use the filter tabs on the Invoices page to find invoices by status. The outstanding total is displayed at the top of the page.

You can edit a draft invoice by clicking on it and choosing Edit. Once an invoice has been sent, you must cancel it and create a new one to make changes.

Stripe Setup

FencR uses Stripe Connect to process payments. When a payer completes a payment, the funds go directly into your club's Stripe account. FencR does not hold or intermediate any funds.

Start the Stripe connection

Go to Dashboard > Settings > Integrations and click Connect with Stripe. You will be redirected to Stripe's OAuth authorize page.

If your club already has a Stripe account, sign in on that page to attach it to FencR directly. If you do not, choose Create new account on the same screen and Stripe will walk you through identity verification as described below.

Complete Stripe's identity verification

Stripe requires Know Your Customer (KYC) information to comply with financial regulations. You will need to provide:

  • Business name and type (or personal details for sole proprietors)
  • EIN or Social Security Number
  • Bank account for payouts
  • A valid ID document for the account representative

Confirm connection in FencR

After completing Stripe's onboarding, you are redirected back to FencR. Your Integrations page should show Stripe as Connected. Online payments are now active for invoices and subscriptions.

Access your Stripe dashboard

FencR creates a Stripe Standard account for your club. This means you have full access to dashboard.stripe.com using your own Stripe credentials. From there you can manage payouts, view disputes, and configure advanced Stripe settings.

Click the Manage in Stripe button on your Integrations page to open dashboard.stripe.com in a new tab.

Stripe charges a standard card processing fee per successful charge. FencR does not add any platform fee on top. You can optionally pass the processing fee to the payer as a line item when creating an invoice.

Refunds

Club Admin

Refunds are processed directly in Stripe. FencR does not hold funds and does not have authority to move money on your behalf. When you issue a refund in Stripe, FencR is notified by webhook and records the impact on the matching invoice so your athlete and your records stay in sync.

Open the charge in Stripe

Go to Integrations > Manage in Stripe to open dashboard.stripe.com for your connected account. Find the charge under Paymentsby payer name, amount, and date. If a refund webhook is ever missed, the invoice's Sync refunds from Stripe button pulls it in.

Issue the refund

Click Refundon the charge in Stripe. You can issue a full refund or a partial refund. Stripe will debit the original payment method, send the payer Stripe's refund receipt, and your bank will be debited at the next payout cycle.

Verify it lands in FencR

Within a few seconds Stripe sends FencR a webhook. FencR appends a credit line item to the matching invoice (described as Refund (ch_...)) and preserves the original line items so you keep a clean audit trail. Open the invoice in Dashboard > Invoices to see the running total reflect the refund.

A full refund automatically cancels the linked FencR subscription (and, for recurring plans, FencR also cancels the Stripe subscription so renewals stop). A partial refund leaves the subscription untouched: if you are partially refunding a member who wants to stop their plan, cancel the subscription separately from the member detail modal or from the plan's subscriber list.

What FencR records

  • A negative line item on the invoice for the refunded amount. The original lines are kept intact.
  • The invoice status stays Paid. The running total at the bottom of the invoice reflects the net amount.
  • Athletes and parents see the refund in their Billing > History tab when they open the invoice.

What FencR does NOT do

  • FencR cannot initiate refunds on your behalf. All refunds must be authorized by you in Stripe.
  • FencR does not send a refund confirmation email. Stripe sends the official receipt.
  • FencR does not refund booking credits from a subscription period when an invoice is refunded. Credits are managed separately under the cancellation cutoff rules of the plan.
  • FencR does not cancel the subscription on a partial refund. Only a full refund auto-cancels the linked subscription (and, for recurring plans, the Stripe subscription); after a partial refund you cancel it explicitly if that was the intent.

Testing in Stripe test mode

All of this works in Stripe test mode. Pay a test invoice with card 4242 4242 4242 4242, open the charge in the Stripe test dashboard, click Refund, and watch the FencR invoice detail page show the credit line within a few seconds. No real funds move.

Zelle Setup

Club Admin

Zelle is an alternative to Stripe for clubs (and individual coaches) who prefer bank-to-bank transfers instead of card processing. FencR routes the payer to a Zelle handle you register; the actual transfer happens inside the payer's and recipient's banking apps.

Register a club-level Zelle handle

Go to Club Settings > Getting paid (or Dashboard > Integrations) and add your Zelle handle. Enter the email address or phone number that your club's bank account is linked to in Zelle, plus a display name (for example, Westchester Fencing Club). Until a handle exists somewhere, Zelle is not offered as a payment option anywhere in the app.

(Optional) Add coach-level Zelle handles

If individual coaches collect their own Zelle payments (for example, private lessons paid directly to the coach), each coach can register their own handle from Settings > Profile > Zelle. When you create an invoice for a session taught by that coach, you can route it to the coach's handle instead of the club's.

Send an invoice via Zelle

When creating an invoice, switch the payment method to Zelleand pick the recipient handle. The payer-facing email and the invoice page show the recipient's handle and the invoice reference so the payer can copy them into their banking app.

Route a whole plan to Zelle

Rather than choosing per invoice, a plan can be set to collect by Zelle every time. In the plan editor, under How you'll get paid, tick Zelle, star it as the method invoices use, and pick which handle receives it. Every invoice that plan generates routes there automatically.

You can also collect by Zelle without publishing the handle: turn off show the handle on the invoiceand the member's copy leaves it out, while routing, your own view, and mark-as-paid all work exactly as before. Whatever was set when the invoice went out is frozen onto that invoice, so editing the plan later never rewrites an invoice a member already has.

Mark Zelle invoices paid manually

Once you confirm the funds in your bank account, open the invoice and click Mark as Paid. The invoice moves to Paid and the payer gets a receipt notification.

FencR has no way to verify whether a Zelle payment was actually sent, received, or cleared. Zelle transfers happen entirely outside the platform. Reconciliation is on you. If a payer claims they sent payment but you do not see it, check directly with the participating banks.

Zelle is free for both sides (no processing fees), which makes it attractive for large invoices. For small or recurring payments, Stripe is usually less administrative work because of automatic reconciliation.

Automating Payments

Club Admin

Once Stripe is connected, you can set up recurring billing so athletes and parents are charged automatically on a regular cycle.

Create a membership plan with a Stripe price

When you create a plan in Dashboard > Club Plans and Stripe is connected, FencR automatically creates a corresponding Stripe Price. This is required for automatic billing.

Enroll athletes in the plan

Assign the plan to an athlete from their profile or during invoice creation. When an athlete subscribes, they are redirected to a Stripe Checkout page where they enter their card or bank account details.

Automatic billing kicks in

Stripe charges the athlete (or their parent for minors) on each billing cycle. FencR receives a webhook notification from Stripe and automatically marks the corresponding invoice as paid. No manual intervention is needed.

Handle failed payments

If a payment fails (expired card, insufficient funds), Stripe retries according to its smart retry schedule. FencR sends the payer an in-app notification and email alerting them to update their payment method.

Cancellations

When an athlete's subscription is cancelled (either by the admin or the athlete), it remains active until the end of the current billing period. FencR updates the subscription status automatically via Stripe webhooks.

Plans that end on their own

If the plan has a fixed Plan length (say 10 cycles for a season), nobody has to remember to cancel it. FencR schedules the end date when the athlete enrolls and tells Stripe to stop billing after the final cycle. Access and any remaining credits run to that date, then the subscription closes itself out. Plans set to Renews forever behave exactly as before and continue until somebody cancels.

Athletes can pay with credit/debit cards or ACH bank transfers. ACH transfers typically have lower processing fees, which benefits both the club and the payer.

Club Products (Store)

Club Admin

Sell equipment, merchandise, and food & beverage to your members directly from FencR. Members buy through Stripe checkout on your club's account, inventory updates itself, every sale lands as a paid invoice, and your admins are notified to fulfill. FencR takes no cut. The store needs your club's Stripe account: until Stripe setup is complete (see Stripe Setup above), the My Products page stays locked behind an Enable Stripe banner. Zelle payments are coming soon.

Create a product

Go to My Products > Create Product. Add a name, photo, price, product type (equipment, merchandise, food & beverage), and a category like Blades, Lamé, or Apparel. The live preview shows exactly what members will see.

Add options with their own stock

Toggle Options & inventory on for anything that comes in sizes. Quick fill adds a whole size run in one click — adult sizes, shoe sizes, blade sizes, glove sizes. Each option tracks its own stock and can override the base price. Options can't be deleted once saved (their sales history stays) — use the eye toggle to hide one from members instead.

Fulfill purchases

Every purchase notifies admins in-app and by email, and appears under My Products > Purchases with the buyer's name and a receipt. Hand the item over, then click Fulfill — or let the member confirm the pickup from their own receipt. Both are recorded with who confirmed and when.

Manage inventory

The Inventorytab shows every option's stock with low-stock warnings. Open a product to see its inventory trend over time and a ledger of every change — sales decrement automatically at payment, restocks and corrections use the audited +/− controls, and each entry records who, when, and how many.

Members only ever see in-stock items: a sold-out option is disabled, and a fully sold-out product disappears from the shop until you restock.

Invoices and Payments

View your invoices

Go to Billing from your dashboard and open the History tab. You will see only your own invoices, along with their status (Sent, Paid, Overdue, Cancelled). Drafts are never shown to members.

Receive an invoice notification

When your club sends you an invoice, you will receive both an email and an in-app notification (the bell icon in the top bar). Click the notification to go directly to the payment page.

Pay online (Stripe)

If your club has Stripe connected, click Pay Now on the invoice. You will be taken to a secure Stripe Checkout page where you can pay by credit card, debit card, or ACH bank transfer.

Pay by Zelle and self-mark

If the invoice is set to Zelle, the invoice page shows the recipient's Zelle handle and a payment reference to copy into your banking app. Once you have sent the transfer, click I've Sent Payment. The invoice moves to Awaiting Confirmation until your club confirms the deposit and marks it Paid.

Zelle invoices skip the card convenience fee, so the total on a Zelle invoice matches the subtotal shown in the invoice email.

Payment confirmation

After a successful Stripe payment, your invoice status updates to Paid automatically and you receive a receipt from Stripe via email. For Zelle, your club marks the invoice Paid manually once they confirm the funds in their bank account.

If you are a minor with a linked parent account, the Billing section is not visible in your sidebar. All billing is handled by your parent. You will still receive schedule and booking notifications normally.

Buying Club Products

If your club sells gear, merch, or snacks, you'll see a Club Products tab in your sidebar. Everything shown is in stock right now.

Pick a product and option

Tap a product to see photos, details, and options (sizes, blade lengths, and so on). Sold-out options are disabled. Have a question first? Inquire opens an email to the club.

Pay with Stripe checkout

Choose a quantity and hit Buy— you'll pay securely through Stripe with a card, Apple Pay, or Link. The club is notified immediately.

Pick up at the club

Your order appears under My purchases with a receipt and an order code. Show it at the club, take your item, and confirm the pickup — either you or a club admin can mark it picked up, and the receipt records the time.

Receive the invoice

When your child's club creates and sends an invoice, you receive an email and an in-app notification. The email includes the invoice number, amount, and due date.

Review the invoice

Click the link in the email or navigate to Billing from your dashboard and open the History tab. You can see the full breakdown of line items, including session fees and plan charges.

Pay online

Click Pay Now to open the secure Stripe Checkout page. Enter your payment details (credit card, debit card, or ACH bank transfer) and submit. ACH transfers often have lower fees.

Track payment history

All your paid and outstanding invoices are listed in the History tab of your Billing page. Use the status filter tabs (All, Sent, Paid, Overdue) to find specific invoices quickly.
