Open the Schedule page

Navigate to Dashboard > Schedule. Use the view toggle at the top to switch between Day, Week, and Month. Day and Week offer a time-grid laid out by hour; Month gives you the full calendar at a glance for longer-range planning.

Create your own category

Categories match how your club actually runs (for example: Private Lesson, Group Class, Open Fencing, Footwork Drill, Competition Prep). You create them where you use them: in the Add to Schedule form, add a category and it is saved to your club and offered on every session from then on. Categories double as your member groups, so the same list appears on the Members page.

Create a session

Click New Session and choose a session type:

  • Private: One-on-one with a specific coach.
  • Group: Multiple athletes, with a max participant cap.
  • Open Fencing: Drop-in bouting, no cap required.

Then select the category you created in the previous step to label the session on your calendar.

Fill in session details

Set the title, date and time, location, weapon, assigned coach, and max participants (for group sessions). Choose a schedule category if your club has configured any.

Make it recurring (optional)

Toggle Recurring to create a repeating series. Set the frequency (weekly, biweekly, etc.) and an optional end date. FencR generates all future sessions in the series.

Edit or cancel sessions

Click any session on the calendar to view or edit it. For recurring sessions you can choose Edit this session only or Edit this and all future sessions.

Move a session by dragging

In the day or week time-grid you can drag a session to a new time slot. If the session is part of a recurring series, FencR asks whether the move applies to this session only or the whole series, so a one-off reschedule never silently shifts every future week.

Post announcements and staff notes

Open any session to find the Announcements and notes panel. The Announcement tab (blue megaphone) broadcasts an in-app notification to everyone signed up, with parents notified for minor children; tapping the notification opens the session. The Internal note tab (amber lock) is visible to coaches and admins only. Announcements stay pinned on the session, so late sign-ups see them too.

Cancelling removes upcoming occurrences from the calendar; sessions that already happened are kept in your history as cancelled. Cancellation cannot be undone, and athletes with bookings are notified.

Use the view toggle at the top of the Schedule page to switch between a list and a day/week time-grid. The time-grid view is best when you have overlapping sessions and want to see them laid out by hour.

Tournaments

Tournaments are a dedicated schedule type for one-off events that need open sign-up and custom billing, rather than the usual plan-based booking flow. Use them for in-club opens, mock competitions, and travel-team events.

Create a tournament

From Dashboard > Schedule, click New Session and pick Tournament as the session type. Enter a title, location, start and end times, and an optional registration cap.

Open sign-up

Tournaments use open sign-up. Any active member can register themselves from the Schedule view by clicking the tournament and selecting Sign Up. Sign-ups do not consume plan credits and do not require admin approval.

Invoice registrants with custom amounts

Open the tournament from the Schedule and click Generate invoices. Enter a custom amount and description (for example, "Spring Open entry fee $75") and FencR generates an invoice for each registered athlete. Invoices follow your normal Stripe or Zelle payment flow.

Manage the roster

The tournament detail page lists everyone signed up, including parents of registered minors. You can remove a registrant up until the start of the event. Removed athletes get a cancellation notification.

Parents can register their linked children for tournaments from their own dashboard. Coaches and admins see the full roster, including parent contact information for minor athletes.

As a coach, your dashboard is focused on scheduling and members. You have a streamlined view designed for managing your day-to-day work.

Your sidebar

You will see the following sections in your sidebar: Schedule, Members, and My Coaching (your coaching analytics), plus your personal My Plans and My Billing pages, and Children if you have linked children. Club-wide invoicing, analytics, and club settings are admin surfaces.

View and manage the schedule

You have full access to create, edit, and delete sessions. You can manage recurring series and view all bookings for any session.

View the member list

You can see all active members and their profiles, invite new members, and send roster invites. This helps you know who is enrolled and their weapon preferences. Changing roles and removing members stays with admins.

If you need club-wide invoicing, analytics, or club settings, ask your club admin to upgrade your role to Admin. Your own plans and invoices never need an upgrade: they live under My Plans and My Billing.

Managing Your Schedule

Create sessions for yourself

From Dashboard > Schedule, click New Session. You will be set as the assigned coach automatically. Choose private lessons for one-on-one instruction or group classes for multiple athletes.

Set up recurring lessons

For regular weekly lessons, toggle the Recurring option. This saves you from manually creating the same session every week. You can edit a single occurrence or all future sessions.

View your bookings

Click any session on the calendar to see who has booked. You can view confirmed attendees and track who cancelled.

Get told when your sessions change

You do not have to keep checking. Whenever somebody books or cancels a session you are on, you get an in-app notification, whether the athlete booked themselves, a parent booked their child, or another coach assigned them. Notifications go to the session's lead and assistant coaches plus your admins, and name who is leading and who is assisting, so you can tell your own floor from someone else's. Tap one to open the session.

Deleting a session is permanent. If athletes are booked, they will be notified of the cancellation. Consider editing the session instead if you only need to change the time or date.

Bookable Lesson Blocks

Lesson blocks turn your availability into slots athletes can book themselves. You publish a window of time; FencR slices it into bookable lesson slots automatically.

Configure lesson lengths first (admin)

In Club Settings > Lessons & booking, set the lesson lengths your club offers (for example 20, 40, and 60 minutes) and the gap between lessons. The shortest length is the base: one lesson credit pays for one base-length lesson. The panel beside the settings shows how many lessons that actually fits into an hour, so you can see the effect of a change while you make it.

Publish a block

On the Schedule page, create a bookable block by choosing a coach and a time range. FencR tiles the block into individual slots at your base length, and athletes see them as open lesson times they can claim.

How credits are charged

When an athlete books a slot, the credit cost matches the lesson length: a base-length lesson costs one credit, a lesson at twice the base costs two. The cost is shown before they confirm, and the exact amount is refunded if they cancel outside the cutoff window.

Move or adjust a block

Drag a block to move it, or edit its time inline. If the block repeats weekly, FencR asks whether the change applies to this session only or the whole series.

Work the block roster

Open a block to see who has booked each slot, reassign athletes between slots when plans change, and book an athlete in yourself when they ask you directly. Every athlete row shows their photo and plan coverage, and hovering one brings up their full member card, so you are never guessing which Alex you just moved. Coaches can override slot assignments when the situation calls for it.

Each slot can carry its own coach, so two coaches sharing a strip can publish one combined block and split the slots between them.

Check-In Kiosk

The Check-In Kiosk turns any signed-in staff device (a tablet by the door, the front-desk laptop, the phone in your hand) into a locked, club-branded check-in station where athletes and parents check themselves in on arrival.

Open the kiosk

Click Check-Inin the Schedule page header to cover all of today's sessions from one device. Or open a single session or lesson block and choose Open Check-In to scope the kiosk to just that roster.

Set a staff unlock code

Before the kiosk starts you set a 4-digit code. The kiosk takes over the whole screen and hides the app's navigation; exiting back to your dashboard requires the code, and the kiosk survives an accidental page refresh.

Athletes tap their name, confirm, done

Arrivals search or tap their name, confirm on the Is this you?screen, and they are checked in. Parents tap their child's name. A check-in marks the same attended flag coaches already use, with the true arrival time recorded, and the coach's attendance view shows a Checked in chip.

A browser page can never fully lock a device, so pair the kiosk with your tablet's guided-access or kiosk mode for unattended use. Walk-ins cannot book from the kiosk by design; staff book them in from the normal schedule instead.

Training as a Coach

Coaches often train too. Your role controls what you manage for the club, but it never blocks you from participating like any other member: you can enroll in plans, book yourself into sessions, and pay your own invoices. On any single session you can wear up to three hats at once, each tracked separately: the coach running it (assigned on the session, no booking, no credits), a participant training in it (a real booking with capacity, quota, and credits), and a parentof a child in the roster (the child’s own booking and credits, with you receiving their notifications).

Enroll yourself under My Plans

Dashboard > My Plansis your personal plans page: subscribe to one of the club’s plans or buy a one-time pack for yourself, and track the credits you have left.

Pay your own invoices under My Billing

Dashboard > My Billing shows the invoices the club has sent to you and the subscriptions you pay for yourself.

Join sessions as a participant

Open any practice, open fencing, or lesson slot on the schedule and choose Join as participant. It works like any athlete booking: capacity limits and plan credits apply to you the same way, and cancelling outside the cutoff refunds the credit.

Enroll your own children

If children are linked to your account, session details show a Your Childrensection where you can sign each child up (or remove them) using the child’s own plan credits, exactly as a parent would. This appears for any role with linked children, and the Childrenpage in your sidebar manages their plans and billing. Announcements posted on your child’s sessions are delivered to you.

Staff appear in booking pickers and billing lists like any member, so an admin can assign a coach a plan or invoice them the normal way. Being the assigned coach on a session never uses a booking or a credit; only signing up as a participant does.

Your home base

After signing in, your dashboard shows an overview of your upcoming sessions, recent invoices, and your active membership plan.

Sidebar navigation

Your sidebar includes: Schedule (view and book sessions), Plans (your active subscription), and Billing (your invoices and payment history).

Switch between clubs

If you belong to more than one club, use the org switcher in the sidebar to switch between them. Each club has its own schedule, invoices, and plan.

Browse the schedule

Go to Schedule from your dashboard. You will see the sessions you are booked into, plus any tournaments open for sign-up, in a day, week, or month view. Practices are assigned by your coaches rather than booked by you, so they appear once you have been added to them.

Schedule a lesson

Click Schedule a Lessonto book a private lesson. Pick your coach from the list (their photo and name are shown, and the coach stays visible at the top of the flow so you always know who you are booking). Then choose a day on the calendar: days with an open slot carry a dot, and selecting one shows just that day's times, each with its length and what it costs in credits. Pick a time to confirm.

If you do not hold a plan that covers lessons yet, this flow says so and offers the plans you can pick up, so you can sort out coverage and book without leaving the page.

Sign up for a tournament

Tournaments are open registration: click one on the schedule and sign up directly. Your club invoices tournament entries separately where they charge for them.

Cancel a booking

Click your booked session and select Cancel Booking. Cancelling before your plan's cutoff returns the credit to your pool; inside the cutoff the credit is still spent. Your club also tracks cancellation timing (same day, 1 to 3 days notice, etc.), so give advance notice when you can.

Find your calendar feed URL

Go to Settings > Calendar Integration. You will see a personal iCal feed URL unique to your account.

Subscribe in your calendar app

Copy the URL and add it as a subscribed calendar in Google Calendar, Apple Calendar, Outlook, or any app that supports iCal feeds. Your FencR sessions will appear and update automatically.

Regenerate your feed token

If you need to revoke access to your calendar feed (for example, if the URL was shared accidentally), click Regenerate Token in your settings. This invalidates the old URL. You will need to re-subscribe with the new URL.
