Session Announcements and Coach Notes: Reach Everyone Signed Up, Right From the Schedule
FencR now lets coaches and admins post announcements directly on a practice, lesson, or tournament. Everyone signed up gets an in-app notification that links straight back to the session, parents are notified for their kids, and a separate staff-only notes layer keeps coach chatter off the athlete's screen. Free for every club.
Every club has lived this one: practice moves to the back gym, the coach texts three people, one of them posts it in a group chat half the team muted, and at 6pm four athletes are standing in the wrong room. The information existed. It just never had a home.
FencR now gives it one. Announcements and notes live directly on the session they are about, and posting one reaches exactly the people it concerns: everyone signed up.
Announcements: posted on the session, delivered to the roster
Open any practice, group lesson, open fencing night, or tournament on your Schedule and you will find an Announcements and notes panel sitting right next to the signed-up roster. Type your message, hit Send, and three things happen:
- Everyone signed up gets an in-app notification. The bell in their dashboard lights up with your announcement, whichever device they are on.
- Parents are notified for their kids. For minor athletes, FencR routes the notification to the parent who actually manages the schedule, not to a child's account nobody checks.
- Tapping the notification lands on the session. Not a generic inbox, the actual practice, with your full announcement, the time, the coach, and the location one tap from directions.
The announcement also stays pinned to the session itself, so an athlete who opens the practice later, or signs up after you posted, sees it immediately.
Because announcements are scoped to a single session, they stay honest. "Bring your own body cord today" goes to the people attending today, not to the whole club, and not to every future occurrence of the practice.
Internal notes: the staff layer
The same panel has a second tab: Internal note, in amber with a lock on it. Notes are for the things your staff needs and your members do not: "strip 3 lights are flaky, use strip 4," "new trialist coming at 6:30, put her with the beginners," "invoice the visiting club after this one."
Internal notes never notify anyone and never appear to athletes or parents. That separation is enforced in the database itself, not just hidden in the interface, so a member account cannot read staff notes no matter how it asks.
The two kinds are impossible to confuse at a glance: announcements render in blue with a megaphone, notes in amber with a lock, and the composer tells you exactly who will see the post before you write a word.
A session view built to be read
Announcements arrived alongside a redesign of the session detail view, and together they make the schedule the place where club communication actually lives:
- Everything on one screen. The session view is now a wide two-column layout: date, time, coach, weapon, and location on the left; announcements, the roster, and sign-up actions on the right. No more scrolling past eighteen names to find the sign-up button.
- Rosters that respect your screen. Big sessions show the first five sign-ups with a Show all toggle, and long announcement threads collapse to the three most recent the same way.
- Tap the location, get directions. When a session is at one of your club's saved locations, the address appears under the location name and links straight to Apple Maps or Google Maps, whichever fits the device. Away tournaments just got much easier to find.
Coaches, athletes, and parents all use this same view. The only difference is what each role can see and do: staff get the composer and the internal tab, members see announcements only.
Where this goes next
This release deliberately keeps announcements in-app. The notification bell reaches every signed-in member without adding another email to anyone's pile, and the session page keeps a permanent record. Email fan-out for announcements, and posting to a whole recurring series at once, are both natural extensions we are watching demand for.
Free, like everything else on FencR
Announcements and internal notes are included for every club, along with the rest of the platform: scheduling, plans and credits, invoicing, waivers, messaging, analytics, and the self-serve Check-In Kiosk. No tiers, no caps, no feature gates.
If your club is already on FencR, open any session on your Schedule and the composer is waiting. If it is not, creating a club takes about fifteen minutes, and "who told the team?" stops being a question with a different answer every week.
